For coffee roasters, machines are the engines of their businesses. When equipment underperforms or fails without warning, the consequences reach well beyond a repair bill. Batch consistency suffers, wholesale deadlines are missed, and customer loyalty can erode quickly.
As input costs continue to rise, roasters face growing pressure to maximise the value of every piece of equipment. After hitting their lowest levels since November 2024, coffee prices are climbing again, pointing to further volatility ahead. Energy and labour costs have also risen sharply in recent years, straining already tight margins.
In this context, a roaster is a long-term commitment that must deliver reliable performance over years, sometimes decades. Preventive maintenance is one of the most essential steps to ensure this.

Why coffee roasters need to carry out preventive maintenance
To protect machines and maximise their working life, roasters need a structured approach to maintenance. Industry frameworks generally define four core types:
- Reactive maintenance addresses failures only after they occur.
- Corrective maintenance addresses identified issues before a total breakdown occurs.
- Predictive maintenance uses data and monitoring technology to forecast when components are likely to fail.
- Preventive maintenance involves scheduled, routine tasks performed at regular intervals to stop problems from developing in the first place.
Each approach has its place, but for a piece of equipment as complex and safety-critical as a commercial coffee roaster, preventive maintenance deserves particular attention. The stakes of an unplanned failure are high, and emergency repairs almost always cost more than the prevention that would have avoided them.
“In any roastery, safety and consistency are everything. Roasters handle high temperatures and highly combustible byproducts like chaff and oils, so you have to stay on top of health and safety,” says Phill Parsons, Roastery Manager at Amamus, a B Corp-certified specialty coffee company based in Hampton, west London, UK.
“Our 30kg IMF machine mitigates some of the biggest headaches,” he adds. “For example, the machine dispenses chaff via its built-in auger, which dramatically reduces the risk of a chaff fire. Because we can safely empty it during the roasting process without shutting down, our daily productivity also stays high.”
Equipment is providing more support
Manual preventive maintenance remains the foundation of any well-run roastery. In practice, that means daily checks of burners, airflow systems, and chaff collectors, along with regular inspections of belts, bearings, and drum seals.
Roasters also clean heat exchangers, check gas fittings for leaks, and monitor exhaust temperatures to catch early signs of wear. These tasks are straightforward in principle, but they require consistency and attention to carry out properly, particularly in high-volume operations where machines run for long hours each day.
Roasting equipment is becoming increasingly capable of supporting this process. Modern machines now feature onboard diagnostics that track temperature curves, airflow rates, and component performance in real time, flagging anomalies before they develop into failures.
“Because IMF’s software handles the maintenance schedules and triggers clear prompts on the screen when a check is due, we never get caught off guard,” Phill explains. “We build quick, prompted tasks into our production calendar, meaning we never miss a client deadline due to unexpected downtime.”

How to carry out preventive maintenance on coffee roasters
For any roastery, a well-designed preventive maintenance programme is structured around frequency. The tasks carried out after each roasting session naturally differ from those required weekly, monthly, or annually.
Phill shares some of his key tasks based on his experience operating an IMF roaster in a high-output specialty coffee roastery:
Daily and weekly tasks
- After each roasting session, remove chaff from the chaff collector and cyclone. Chaff is highly combustible, and accumulation is a fire risk.
- Clean the area beneath the coffee cooling tray at the end of each working day to remove residues and maintain hygienic operating conditions.
“Lean into any unique design features of your machine,” Phill says. “Taking advantage of the IMF’s ability to empty chaff on the fly means we don’t have to sacrifice productivity for safety.”
Daily and weekly tasks take only minutes but are the baseline of any responsible preventive maintenance programme. “Listen to the machine,” Phill says. “When the screen prompts you to do a basic maintenance task, do it right then – don’t push it down the road.”


Monthly tasks
- Empty and thoroughly clean the collection containers connected to the suction pumps every 30 days.
- Clean the roaster fan (the M2 for IMF machines) to remove dust and residue that may accumulate during roasting operations. This should be done every 1,500 roasting cycles.
“Traditional roasters require a separate, gas-guzzling afterburner to burn off smoke and emissions,” Phill says. “The IMF uses a single burner to do both, which gives us substantial fuel savings.
“Combined with the precise profile control provided by the 12 adjustable set points, this allowed us to scale up our production while keeping our environmental footprint as close to zero as possible.”
Quarterly and annual tasks
- Apply appropriate high-temperature lubricating grease (minimum 400°C tolerance) to roaster bearings and all lubrication points equipped with grease fittings, including silo motors, rotary valves, dust filter mechanisms, and other designated lubrication points. This should be done every six months.
- Thoroughly clean the filters on the suction pumps every six months to ensure proper airflow and system efficiency.
- Perform a deep cleaning beneath the roaster tray, including the area beneath the protective grate, every nine months.
- Clean the water spray nozzles located in the cooling tray and inside the roaster drum every nine months to prevent clogging and ensure proper operation.
- Clean the cyclone filters for both the roasted and green coffee systems every nine months.
- Remove and clean the filters installed in the electrical cabinets every nine months to maintain proper ventilation and prevent overheating of electrical components.
- Verify and calibrate all weighing scales every nine months to ensure measurement accuracy and operational reliability.
- Check that all solenoid valves for the roaster and silo systems are working correctly every nine months.
- Replace air filters as required to maintain optimal airflow and system performance.
- Inspect all piping used to transport coffee every nine months for any blockages, wear, or leaks that may affect system performance.


The importance of record-keeping
Keeping a detailed maintenance log for every session – noting what was cleaned, which parts were replaced, and any anomalies observed – helps roasters keep their equipment in excellent working condition.
When performing preventive maintenance on any machine, you should always follow the manufacturer’s guidelines. For IMF customers, the onboard control system generates its own prompts and records, but a supplementary written or digital log remains good practice.
“Starting out with a machine of this calibre sets a high standard for how a team respects the equipment,” Phill says. “The IMF control panel takes the guesswork out of maintenance. Instead of us having to guess when a component needs checking, the screen tells us.
It has changed our mindset from reactive ‘fixing’ to simple, proactive stewardship. It makes looking after a precision machine feel like a seamless part of a daily routine rather than a chore.”
IMF also provides ongoing technical support to its clients, including remote connectivity for diagnostics and direct access to engineers via WhatsApp for urgent issues. “Knowing the remote connectivity is there is a huge confidence booster for a growing business,” Phill adds. “Knowing we have direct WhatsApp access to their engineers for emergencies gives us peace of mind.”


For roasters looking to protect the value of their equipment, preventive maintenance isn’t a cost or a chore, but an insurance policy.
When it’s embedded into daily, weekly, monthly, and annual operations, supported by machine design, smart software prompts, and manufacturer backing, it becomes routine rather than burdensome.
